Hey Mate is a social enterprise supporting mental health, wellbeing, and psychosocial safety across Australia’s creative industries.

We work with artists, crew, organisations, and peak bodies across arts, screen, music, festivals, and live performance — nationally and internationally.

About the Role

We are seeking a clinically trained, highly organised Clinical Intake & Operations Coordinator to become the front door of our practice.

This role begins at 9 hours per week (Tuesday–Thursday, approximately 3 hours per day, flexible within business hours) and will increase to 15 hours across 5 days per week from June 2026.

From June 2026, this role will step into leading intake operations while our Lead Intake Clinician is on maternity leave. You will be supported in this transition and gradually take on increased responsibility.

This is a growth role within a nationally expanding organisation.

A strong, demonstrated understanding of the creative industries is essential.

What You’ll Be Doing

Intake & Client Coordination

  • Responding to new EAP and private client enquiries

  • Conducting intake triage and appropriate clinician matching

  • Managing scheduling across clinicians and contractors

  • Ensuring a compassionate, professional onboarding experience

  • Maintaining accurate client records and practice systems

Practice & Operational Support

  • Supporting EAP onboarding and reporting requirements

  • Liaising with clinicians, facilitators, and contractors

  • Monitoring workflow and identifying capacity pressures early

  • Supporting intake systems and process improvements

Future Intake Leadership (from June 2026)

  • Leading intake operations during maternity leave

  • Overseeing triage decisions and clinician allocation

  • Acting as the primary intake contact across the organisation

About You

You will likely be a strong fit if you:

  • Have formal training in counselling, psychology, or social work

  • Have experience in intake, triage, or clinical coordination

  • Have a strong understanding of the creative industries (essential)

  • Understand the unique pressures of freelance and portfolio careers

  • Are calm, organised, and emotionally steady

  • Communicate clearly and professionally

  • Are comfortable working independently in a remote environment

  • Are interested in growing with a purpose-driven organisation

Experience in EAP or private practice settings is highly regarded.

  • Casual or part-time role

  • Initial 9 hours per week, increasing to 15 hours per week from June 2026

  • Flexible daytime hours within standard business hours

  • Remote role (Australia-based; East Coast preferred)

  • Salary $75,000–$85,000 FTE, pro-rata + super

  • Employment conditions in line with the National Employment Standards and applicable award

  • Any work-related travel will be planned and supported in line with Hey Mate policies
